Use a focused template for a focused service: capture the right evidence, keep scope clear, and publish a polished report without rebuilding it.

A four-point inspection, a roof inspection, and a radon service may happen at the same property, but they are not the same job. Each has a different scope, evidence plan, and client question. A full residential template can bury those differences under dozens of irrelevant sections. A focused pack opens only what the service needs, prompts for the captures that support the conclusion, and keeps the report readable. Start with scope, not with a giant checklist

Before building a pack, write down what the client ordered and what the report promises. A 4-point service commonly needs concise information about the roof, electrical system, plumbing, and HVAC, along with age, condition, and visible evidence relevant to the intended use. A roof-only visit may need roof covering, penetrations, drainage, flashing, ventilation, and accessible structure. Four-point evidence should be deliberate

A 4-point report is easier to review when each major system has a clear evidence target. For roofing, record the covering type, approximate age when known, visible condition, and limitations. For electrical, identify the panel, service information, visible wiring concerns, and any conditions that need professional evaluation. For plumbing, document supply, drain, water heater, and visible leaks or limitations. For HVAC, capture equipment data and visible condition without promising a performance test you did not perform.

Required photos should appear while the inspector is still at the component. A prompt after the vehicle is gone is too late. The writer can flag a missing panel label, equipment plate, roof overview, or water-heater connection before the report is generated. Those flags are workflow assistance, not a substitute for judgment. Review each image for legibility, location, and relevance. A beautiful photo of the room may not prove the condition of the component the form asks about.

Keep the report language bounded. “Visible corrosion at the exterior jacket; recommend evaluation” says what was observed and what should happen next. “System failed” may claim more than the visit established. A focused pack should give inspectors room to record condition, context, uncertainty, and recommendation separately so a short report does not become an overconfident report.

Roof packs need access and safety language

A roof template should make access part of the inspection record. Record whether the surface was walked, viewed from the edge, viewed from a ladder, viewed from the ground, or observed with another method. Note slope, weather, fragile covering, unsafe conditions, and obstructions. A drone photo can add useful evidence, but it does not automatically answer every roof question. The report should say what the image supports and what remains outside the view.

Use the applicable professional standard and jurisdictional requirements for the service you sell. A template can place the right limitation prompt in front of the inspector, but it cannot authorize unsafe access. If the only way to reach a component is dangerous, the correct action is to document the restriction and follow your firm's safety policy.

Build the roof pack around decisions, not decorative labels. Start with the roof covering, then move to penetrations, flashing, drainage, ventilation, visible framing, and interior evidence of leakage when in scope. Let the inspector capture an overview and a close-up without opening a chain of dialogs. Store media against the finding or component, not in a generic camera roll. That relationship makes the client report and later review much easier.

Training can sharpen the difference between a useful overview and a misleading close-up. Watch the method, then practice the route on a test property. The software will not climb, fly, or diagnose. It will keep the selected photo, note, and limitation together after you make the professional call.

Radon packs should preserve measurement context

Radon reporting is not a sentence that says “safe” or “unsafe.” The client needs the result, the unit, the test duration, the device or laboratory context, placement, conditions that could affect the test, and the next step your service promises. The pack should require those fields before publishing and distinguish a result that is pending from a result that has been reviewed. Do not fill missing data with a confident default.

The EPA's radon resources provide public education and reference material for discussing radon risk and testing. They do not replace state requirements, your laboratory's instructions, or the terms of your agreement. Link the educational context in client communication when useful, but keep the report tied to the actual measurement and chain of custody your firm can support.

Give the radon service its own narrative library. A placement note, a device retrieval note, a delayed result, and a recommendation for follow-up should not compete with residential defect comments. Make the copy plain, then let the inspector adjust it for the property. Sample reports should reflect the same data
